How to Prepare Bank Transactions for QuickBooks Online Canada

A bank-import CSV is a staging file, not a journal entry and not a completed reconciliation. Good preparation keeps the import narrow, reviewable and easy to compare with the original statement.

Use the bank-transaction workflow

QuickBooks bank CSV imports typically expect a date, description and signed amount, or separate money-in and money-out columns. The converter’s QBO preview uses Date, Description and Amount with positive deposits and negative withdrawals.

Do not import this file through a journal-entry workflow. It does not assign accounts, taxes, classes or vendors.

Review the batch before import

Confirm that the account, statement period, opening balance, closing balance, transaction count and total money in/out match your workpaper. Read any correction log and sample descriptions at the start, middle and end of the period.

Import one account at a time. Separate files prevent two chequing accounts from being silently mixed.

  • Keep the date convention at day/month/year for the prepared QBO preview.
  • Check that every chunk stays within the documented row and file-size limits.
  • Retain the manifest and reconciliation report with your working papers.

Map fields deliberately

In the QuickBooks import screen, map Date to the date column, Description to the description column and Amount to the signed amount column. Choose the date format that matches dd/mm/yyyy. Preview the first and last rows before continuing.

If the interface offers different choices from your documented workflow, stop and confirm the current product instructions. Do not force a mapping simply to finish.

Reconcile after import

Count imported rows and compare total deposits and withdrawals with the manifest. Then reconcile the account against the bank statement closing balance using your normal accounting process.

An accepted upload is not proof of correct accounting. Review duplicates, previously imported periods and opening transactions before adding or accepting anything in the books.

Know what recovery restores

Purchase recovery can restore access to the converter’s paid downloads for 30 days. It cannot retrieve your bank PDF or working session because those files remain local. Reselect the original PDFs and let them qualify again.

Review every date, description and amount in the QBO preview before importing. After import, compare the created bank transactions with the statement and complete the reconciliation in QuickBooks Online.
