Reconcile Shopify payouts to bank deposits before QBO

A Shopify payout marked paid and a matching row in the processor export are not the same evidence as money observed at the bank. Keep those claims separate until amount, timing, and reference support the tie.

Use three evidence layers

The balance-transaction source shows rows assigned to a payout. The reviewed payout detail shows status, amount, date, and transfer reference where available. Independent bank evidence shows what actually arrived. A useful workpaper identifies all three rather than collapsing them into one green status.

Match exact evidence before calling it verified

Compare the settled payout amount with one independently observed bank receipt and retain its date, reference, and evidence label. Similar dates or an aggregate month total are not enough when several equal payouts exist. If the source and payout agree but the bank line is absent, the correct state is reconciled for review—not bank verified.

Use transit to explain timing

A payout initiated near month-end can be valid processor activity without appearing in the bank until the next period. The closing-transit control preserves that timing difference: opening transit plus current payouts less verified bank receipts should equal reviewed closing transit.

  1. Carry forward reviewed opening transit from the prior period.
  2. Include only payouts supported by the current source and payout details.
  3. Subtract only exact bank receipts observed in the period.
  4. Investigate any difference instead of forcing the closing balance.

Document unresolved items

An unresolved deposit stays visible with its source references and control difference. Decide outside the tool whether you need more bank evidence, a corrected period, or a policy review. The product prepares evidence and a draft; it does not decide whether an unresolved transfer is cash, transit, a failed payout, or another accounting treatment.
