Job cost close guide
Buildertrend cost codes and QuickBooks Products/Services
Cost code labels and QuickBooks Product/Service names are company-specific. Close Check uses only a unique label, code token or confirmed mapping; it does not guess from a similar-looking name.
A safe automatic link
An exact full label is the strongest signal. If QuickBooks uses a nested name, its final part can match the Buildertrend code label. A unique code token can also connect a name such as ELEC-A - Service Upgrade to that cost code. The same title on two codes is ambiguous and must be reviewed.
Buildertrend budgets may have numeric or alphanumeric identifiers. The visible hierarchy and printed totals still have to prove which lines are cost codes and which are groups or details.
What to do with an unlinked item
Inspect the Product/Service in QuickBooks and the cost-code list in the individual Buildertrend job. If they represent the same cost category, choose the exact code and keep that decision with the workpaper. If they do not, mark the item as unlinked. Do not create a new code or rewrite an accounting row from a suggestion in the checker.
Labor deserves its own review
Select both labor cost codes and QuickBooks labor or payroll accounts. A line matching both is excluded once from the dollar comparison. The excluded totals are visible, but the tool does not claim that payroll dollars equal Buildertrend Time Clock costs.
