Job cost close guide

A Buildertrend and QuickBooks month-end job cost review

A repeatable close starts with comparable exports and ends with a documented review decision. The checker shows exceptions and coverage; the accounting team decides what, if anything, to change.

Prepare the evidence

Choose the company and jobs in scope. In Buildertrend, open each individual Job Costing Budget, clear Find and cost filters, confirm Accrual Actual Costs, and complete any needed QuickBooks sync. Export the full budget for each job. In QuickBooks, export All Dates Accrual Transaction Detail by Account without filters. Export P&L by Customer if you want an independent check for P&L-compatible cost accounts.

Run and review

Add all job budgets together and the one QuickBooks detail report. Confirm job-cost and labor account selections, labor codes, same-day exports and budget scope. Review jobs with the largest gaps first. Open the precise cost code and QuickBooks source references behind each finding.

A job without a linked QuickBooks customer is not compared. A source row with an unsupported type is kept in Coverage. If an optional P&L check cannot run, that limit stays visible rather than turning into a zero balance.

Close the loop

Record who reviewed each difference, its source rows, and any correction made in the source system. Rerun with fresh exports after changes. Keep the prior workpaper and mapping decisions so another reviewer can reproduce the close. Do not treat a zero supported difference as proof that every accounting record is correct.
