Export QuickBooks Transaction Detail by Account for a Buildertrend close

The exact QuickBooks screen can vary by subscription and account. These are Close Check's required report settings and columns, confirmed against its controlled QuickBooks export fixtures.

Set the report scope

Open Transaction Detail by Account in QuickBooks Online. Choose All Dates and Accrual Basis. Remove account, customer and transaction filters. Group by Transaction type and tick its column. The checker reads the workbook content and stops when it cannot prove the transaction type or printed controls.

  1. Open Reports and choose Transaction Detail by Account.
  2. Set All Dates and Accrual; clear filters.
  3. Group by Transaction type and tick the Transaction type column.
  4. Also tick the 12 columns observed in the controlled export: Transaction date, Distribution account, Distribution account type, Num, Name, Description, Split, Amount, Customer full name, Product/Service full name, Line created by, and Line modified by. Prefer the full-name customer and Product/Service columns when both forms appear.
  5. Keep the report's printed totals and basis footer; export to Excel as one worksheet.

Why these columns matter

Customer identifies the job. Distribution account identifies the selected job-cost account. Product/Service connects a QuickBooks line to a Buildertrend cost code. Transaction type identifies whether the cost can flow into the budget. Amount and source row make the difference checkable.

The observed QuickBooks fixture also carries Split, Distribution account type and other metadata. Account type helps distinguish two accounts with the same short name; if identity stays ambiguous, Close Check stops instead of choosing one.

If the export is rejected

A missing transaction type, missing required column, group without its subtotal, or printed total that does not equal the parsed rows is a report problem to correct at export. Do not edit the workbook total to make it pass. Re-export and keep the original file unchanged.
