Buildertrend Job Costing Budget vs. QuickBooks: what to compare
A Job Costing Budget and a QuickBooks report answer related questions, but their totals are not automatically comparable. Establish the scope first, then trace each difference to a source row.
Start with the same scope
Buildertrend Actual Costs are cumulative. For Close Check, export each individual job's full Job Costing Budget on Accrual, then export QuickBooks Transaction Detail by Account for All Dates on Accrual. Clear report filters and export on the same day after any required sync.
A combined Job Group budget or a filtered cost-type view can be internally consistent and still omit costs from the comparison. Close Check asks you to confirm the full, individual-job view and stops if you cannot.
Compare the job, then the cost code
Select the QuickBooks accounts that carry job costs. Link each Buildertrend job to one QuickBooks customer or project. The scan compares totals excluding confirmed labor and locates differences at mapped cost codes. It also lists amounts with no Product/Service, a transaction type that does not flow to the budget, or an unlinked Product/Service.
A difference is evidence to review, not a proposed journal entry. Open the referenced Buildertrend and QuickBooks rows before changing either system.
Keep independent checks independent
QuickBooks Profit and Loss by Customer can cross-check P&L-compatible cost accounts when the account identity and All Dates range are proven. It is not a control for CIP or WIP balances held in balance-sheet accounts. Labor dollars are displayed separately because Buildertrend Time Clock cost and QuickBooks payroll can use different bases.
