Bill Sync Check

Checks whether individual Buildertrend bills appear correctly in QuickBooks. Add Job Costing Budget files for the full job-cost reconciliation.

To start with bills, add one Buildertrend Bills export and one QuickBooks Transaction Detail by Account export.

Buildertrend Bills is recommended: it helps identify the bill behind a difference. QuickBooks P&L by Customer and Time Activities are optional checks. Bills plus QuickBooks detail alone provides a narrower bill sync check.

Add one QuickBooks transactions export and at least one Job Costing Budget. Replace or remove any file that could not be read. Bills and QuickBooks transactions alone can run a narrower bill sync check.

Exact export steps

Buildertrend budget

  1. Open each individual job's Job Costing Budget.
  2. Show Cost Codes and Accrual Actual Costs.
  3. Clear Find, Related Items and Cost Type filters.
  4. If QuickBooks costs flow into the budget, complete Sync from QuickBooks.
  5. Expand the cost-code hierarchy and export. Repeat for every job.

QuickBooks detail

  1. Open Transaction Detail by Account.
  2. Set All Dates and Accrual, with no account, customer or transaction filter.
  3. Group by Transaction type. Tick Transaction type plus the 12 observed columns: Transaction date, Distribution account, Distribution account type, Num, Name, Description, Split, Amount, Customer full name, Product/Service full name, Line created by and Line modified by.
  4. Export to Excel.

Bill sync check

If you only have Bills and QuickBooks detail, this close can run a narrower bill comparison. Job and cost-code totals need individual Job Costing Budget exports.

What this check can tell you

Does Close Check connect to Buildertrend or QuickBooks?

No. You export the reports yourself and choose them in this browser. The tool does not use either login, API or account connection.

Does a zero difference mean the books are correct?

No. The bill difference and optional totals gap describe only the files, period, settings and checks shown in Coverage. Review the source rows before changing accounting records.

What happens if a report is missing a column?

Close Check identifies a missing required column beside that file and asks for a corrected export. Checks that need unavailable optional data are listed as skipped in Coverage.

Can it fix transactions?

No. It never edits Buildertrend or QuickBooks. Findings include source references and next steps for a person to review.

Has it been tested with my account's exports?

The built-in sample is fictional. The Bills layout has been checked against an authentic export, and the QuickBooks reader against controlled exports. Your account's layout may differ; unsupported files are held for review rather than guessed.
